Learning & Development / People Operations Coordinator
Location: Milpitas, CA
Classification: Full-Time, non-exempt position (Hybrid)
Position Summary:
The Learning and People Operations Coordinator performs numerous administrative functions in XLI’s Organizational Development group, with an emphasis in the Learning and Development Department.
Responsibilities:
Support the Learning and Development (L&D) Department’s activities by assisting with scheduling, preparation of materials, tracking of attendance, and system maintenance.
Support the People Operations Department by assisting in onboarding activities for new hires, facilitating a smooth transition into the organization for all staff.
Coordinate course assignment/invitation process, track attendance, course completion, and generate related reports.
Responsible for data input, administration, maintenance, and reporting in HRIS, timekeeping, and L&D software systems. Will become a systems subject matter expert and point of contact.
Support core functions within the People Operations Department and redirect and escalate inquiries to other members of the team when necessary.
Support the administration of Benefit programs under the oversight of the Total Rewards Specialist.
Responsible for logistics related to training events and meetings, including supplies, room set-up, WebEx set-up, and catering.
Provide L&D and People Operations Department communication updates across the organization, inter-departmentally, to training participants, and to trainers.
Develop PowerPoint presentations or other course materials, handouts, exercises, etc.
Support trainers by taking meeting notes, sending follow-up communications, outlining and developing training content and materials.
Organize and maintain L&D training materials and equipment.
Work with the Director of Learning and Development and Manager to identify and support department objectives and training strategies.
Assist in the development, maintenance, and oversight of XL’s annual training calendar.
Assist department team members with expense coding, calendar coordination, printing, filing, and scheduling of appointments, as needed.
Support positional meeting coordination.
Generate reports and create spreadsheets to record and distribute relevant organizational data.
Research topics, materials, and methods to enhance training efforts.
Other duties as assigned.
Knowledge, Skills, and Abilities:
Bachelor’s degree, preferably in learning & development, instructional design, HR or education.
3-5 years of experience, preferably in learning & development and/or corporate education-focused role.
2+yrs Office Administrative and/or Data Entry experience (prior experience in HR and Training & Development is preferred).
Proven knowledge of Microsoft Office – Outlook, Word, Excel, and PowerPoint.
Strong attention to detail.
Excellent Written and Verbal Communication skills.
Demonstrated ability to learn new systems and quickly develop proficiency.
Ability to work collaboratively with others to produce desired outcomes.
Ability to work in a fast-paced environment.
Highly organized and able to prioritize work to meet established deadlines.
A self-starter, who can anticipate issues and take action to get objectives met, sometimes without waiting for specific instructions.
