Job Duties

VDOT’s Lynchburg District is seeking a highly skilled Business Coordinator for their Facilities Section. As the qualified candidate, you will coordinate functions for budget development and monitoring, financial and account management, records management, procurement and administrative activities. Specifically, you will:

Provide administrative support services to the Facilities Section.
Ensure payments for goods and services are processed in compliance with policies and procedures.
Process, verify and track assigned contracts.
Serve as point of contact for customers submitting work orders for facilities issues.
Research and compile data and prepare reports or presentations for a variety of programs or projects.
Prepare requisitions and purchase orders for goods and services in compliance with established policies and procedures and procure items from state contract and resolve billing discrepancies.
Assist in developing assigned budget.
Supply projected costs, monitor expenditures, and prepare financial status reports. Recommend resolution to administrative or business problems resulting in an effective program. Lead, manage and direct new processes to streamline workflow.
Organize and maintain records in computerized maintenance management system for the Facilities Section per established retention schedules and policies.
Coordinate with VDOT Central Office to reconcile accounts, records, real estate assets and other information.
Issue Access and Identification Badges and maintain database.

Minimum Qualifications

Experience with Word, Excel, Access
Knowledge of GAAP, accounting policies, practices, procedures.
Experience using financial management and budgeting computer programs.
Knowledge of budget development and monitoring.
Valid driver’s license

Additional Considerations

Experience using Cardinal system.
A combination of training, experience, or education in Business, Accounting, or related field desired.
Senior level management experience in an engineering organization, transportation organization or public sector.
Administrative experience coordinating a variety of business functions for a designated program area.
Experience with state budgeting practices and procedures.
